Bilingual Virtual Assistant — Travel & Events
Job description
Company Overview
A Mexican network marketing (MLM) company currently expanding its operations into the United States. The company empowers independent distributors/entrepreneurs through products, business development, and community-building
events, with a mission centered on personal and financial growth for its members.
Position Summary
Seeking a Bilingual (Spanish/English) Virtual Assistant to support its Sales Manager with travel booking and event logistics coordination. The company is in an early growth stage in the U.S. market and needs efficient, cost-conscious support to manage a busy calendar of multi-city events, speaker travel, and venue sourcing. This is a part-time role to start, with potential to grow into full-time as the business scales.
Key Responsibilities
• Research, compare, and book flights for the Sales Manager and international guest
speakers traveling from Mexico to the U.S. (and between U.S. cities).
• Evaluate rental car options as an alternative to flights for shorter regional legs of
multi-city tours.
• Source and book hotel accommodations, ideally co-located with event venues, to
minimize team mobility needs.
• Request and compare quotes from hotels and event venues; liaise directly with
venue/hotel contacts.
• Support planning logistics for a back-to-back, multi-city speaker tour (approx. 6 cities
across 7 days).
• Research and help coordinate a multi-day VIP experience in Las Vegas for
approximately 50 people (accommodations, private venue/house rental, dining,
entertainment).
• Research and help secure a venue in Dallas for a company launch/annual
convention in October, accommodating approximately 1,000 attendees.
• Track and organize logistics details (confirmations, itineraries, costs) and provide
clear cost comparisons to support decision-making.
• Provide general administrative support related to event and travel coordination as
needed.
Requirements
• Fluent in both Spanish and English (written and verbal) — required.
• Prior experience with travel booking, event logistics, or hotel/venue sourcing
preferred.
• Strong research skills and comfort reaching out to hotels/vendors to negotiate and
compare quotes.
• Highly organized, detail-oriented, and able to manage multiple moving logistics
pieces at once.
• Comfortable working independently with limited oversight, given the client's own
limited bandwidth.
• Reliable internet connection and availability during required working hours.
Schedule & Engagement Details
• Hours: 10 hours per week to start (potential to grow to 20+ hours as needs increase).
• Schedule: Monday–Friday, mornings, Pacific Time (PST) — client is generally
unavailable in the afternoons.
• Engagement type: Part-time, with long-term growth potential as the company scales
in the U.S.
• Reports to: Fabiola Hernández, Sales Manager, Ismerely Corp.
About the Client
This within sales and marketing function. The Sales Manager currently handles commercial strategy, distributor support, event planning, and administrative operations largely on her own, and is looking for reliable, ongoing support specifically around
travel and event logistics so she can focus on higher-level growth priorities.
