Property Management Accountant
Job description
We are seeking a detail-oriented and dependable Accounting Virtual Assistant to support day-to-day bookkeeping and administrative accounting tasks for a property management operation. This role requires high accuracy, strong follow-through, and the ability to manage time-sensitive responsibilities related to HOA registrations, invoices, reconciliations, and compliance reporting.
The ideal candidate has experience in real estate/property management accounting, is comfortable working inside AppFolio and QuickBooks, and can communicate professionally with internal teams and external HOA contacts.
Key Responsibilities
HOA & Resident Registration
Register newly acquired properties with the HOA by completing and submitting HOA-specific forms
Register new residents with the HOA by completing and submitting HOA-specific forms
Support HOA-related documentation and tracking
Accounts Payable & Invoice Management
Review and enter bills and invoices into AppFolio accurately and on time
Resolve bills and invoices placed on hold in a timely manner
Process HOA statements and reconcile balance discrepancies
Ensure proper documentation and clean recordkeeping for all transactions
Compliance & Reporting
Run ADRE compliance reports and upload documentation into Google Docs
File and pay Transaction Privilege Tax (TPT) as required
Maintain organized files for compliance-related reporting and audits
Utilities & Administrative Accounting Support
Coordinate turning utilities on/off for properties as needed
Code accounting entries in QuickBooks
Support additional accounting and administrative projects as assigned
Qualifications
Required
Strong understanding of bookkeeping and accounting fundamentals
High accuracy in data entry and financial recordkeeping
Excellent written and verbal English communication skills
Ability to maintain confidentiality and follow secure procedures
Reliable, organized, and able to manage multiple deadlines
Preferred
Experience in Real Estate / Property Management accounting
Experience using QuickBooks
Experience using AppFolio (highly preferred)
Familiarity with HOA processes, compliance reporting, and property operations
